Detailed contact data and information on the commercial registration and the legal representatives can be found in our Legal Notice. When used below, the terms “User“/”You” refer to all visitors to or users of our trade fairs and other events, including follow-on events (hereinafter “MFS events“) and our websites (currently www.munichfabricstart.com, www.bluezone.show, www.viewmunich.com, www.resource-textiles.com, www.guest.munichfabricstart.com) and online offers (hereinafter “MFS websites“). These data protection regulations (hereinafter “Data protection regulations“) regulate the use and protection of data, forward to us by you in the context of your use of MFS events and MFS websites (hereinafter collectively “MFS offers“). The protection of your data is a matter of great importance to us, and it therefore goes without saying that we comply with all relevant, applicable, statutory data protection requirements. Below, we wish to inform you of how we ensure the protection of your data or which data are collected for what purposes.

The responsible body is the natural or legal person that decides, alone or jointly with others, on the purposes and means of processing personal data (e.g. names, email addresses or similar).

Access data

When you call up the MFS websites, MFS will receive the following access data that will be stored for backup purposes and which generally enable identification: (1) the country from which you are calling up the MFS websites, (2) the website from which you are visiting the MFS websites, (3) the respective search term if you reach the MFS websites via a search engine, (4) the specific MFS websites that you visit, (5) your Internet service provider, (6) your web browser as well as your operating system used to access the MFS websites, (7) the files that you download from the MFS websites, and (8) the date, duration and time of your visit to the MFS websites. The said data will be evaluated by us and enable us to optimise the MFS offers and to make the content of the MFS websites more personal for you, for example by recognising you as repeat visitor to the MFS websites through the allocation of an existing data record.

Personal data

Personal data is information that can be used to determine your identity, and that is required for execution of the contract as well as for your authentication. This includes information such as your name, first name, gender, date of birth, your language(s), your postal address, your email address as well as your company and corporate function. In addition to the access data, we shall, as a general rule, only store personal data if you provide this voluntarily, i.e. in the context of registration, in particular on the MFS websites or for MFS events, for services offers, in connection with a survey, a contact request, a newsletter registration or a prize competition. Furthermore, personal data will be used only in the respectively necessary scope and only for legally admissible purposes, or purposes to which you have consented. When entering data, you yourself decide which data we receive from you on your company or on you personally. Registration via the MFS websites or via another registration system provided by us or our service providers, is generally reserved to persons above the age of majority.

Purpose of the data collection

The collection, processing and use of data is carried out in exercise of the declared purposes of MFS, in particular for the provision of the MFS websites as well as for the organisation and holding of the respective MFS events and the related business processes, both in connection with your trade-fair participation as well as for accompanying service offers, for information purposes, for advertising in connection with MFS events, for participation in customer surveys as well as for the purpose of market and opinion research. By participating in registration on the MFS websites or in the context of MFS events, you also consent to the data, specified in detail above under Numbers (1) – (8) of the section “Access data” (including your IP address generated in the context of online registration), being used for the above mentioned purposes.

Forwarding of data to third parties

To enable us to fulfil our contractual obligations and services, we may forward your data to affiliated companies of MFS and/or to other third parties, e.g. to selected organisers and holders of national and international trade fairs, exhibitions, congresses and events (among other things for the purpose of simplifying the registration and for avoiding multiple registrations), to exhibitors at MFS events as well as to selected partner companies which, among other things process the personal data on our behalf, and with which we have concluded an order data processing agreement. Examples of the services concerned include ticketing for MFS events, mailshots, stand services and catalogue entries.

Within the framework of MFS events, MFS as well as our exhibitors and partner companies also have the possibility of reading your personal data from your name badge or ticket via electronic devices with scan function, and of using, processing and storing the data in the necessary scope, and forwarding you offers specially tailored to your interests, among other things. This type of scan procedure is only binding at the entrance to the MFS event concerned and is carried out there by MFS or its vicarious agents. Scanning by other event participants is carried out solely on a voluntary basis. By consenting to such a scan procedure, you expressly agree to the scanning party (in particular the exhibitors) obtaining direct access to your data provided during the respective registration (structure data) – with the exception of bank or credit card data. Any additional forwarding of personal data to third parties will be exclusively in the context of the order data processing as well as in individual cases, if you have given your prior consent to this or if we are obliged to forward on the basis of statutory regulations (e.g. to public bodies). Through the scan procedure, you also declare your agreement to being contacted by the scanning party in connection with your participation in the MFS events (in accordance with the “digital business card” provided and forwarded through the scanning procedure.

SSL encryption

SSL encryption is used on the MFS websites for security reasons (in particular to protect the transmission of confidential data forwarded to MFS by the user). The establishment of such an encrypted connection can be recognised by the fact that the browser address line begins with “https://” (instead of “http://”) and by the appearance of a lock symbol in the browser line. Active SSL encryption prevents the data, forwarded to MFS by the user, being readable for third parties.

Links, contact form

From time to time, the MFS websites include links to other websites, e.g. to external websites and offers of our partner companies. Such links are checked by us with reasonable care, and the respective websites have own data protection statements as a rule. Consequently, we expressly assume no liability for data protection statements not connected to us, and kindly request you to obtain separate information concerning the data protection practice of the provider of the respective external website.

If the user contacts MFS via a contact form on the MFS websites, the information provided by the user in the contact form (including contact data) will be stored from the enquiry form by MFS (the legal basis for this is Art. 6 (1) lit a. GDPR). This is for the purpose of processing the user’s enquiry, including any resulting follow-on questions. The data transmitted will not be forwarded to third parties without the consent of the user (this can be revoked at any time, including informally).

Information, Newsletter

By registering for a user profile (see our terms and conditions of use above), the user declares his/her express consent to MFS contacting him/her in various ways during execution of the contract on the basis of the data provided by the user (e.g. by post, email, telephone, telefax and social networks).

If the user has actively declared his/her consent to this (Art. 6 (1) letter a GDPR), MFS shall send him/her a regular email newsletter in order to inform the user concerning important or interesting subjects in connection with MFS, its affiliated companies as well as our exhibitors and selected partners. MFS uses the double opt-in procedure to obtain the consent of the user, i.e. MFS will not send the user a newsletter until the user confirms that MFS should activate the newsletter service by indicating his/her email address on the MFS websites, by creating the user profile, or by activating a tick or clicking on a link in a corresponding notification email from MFS. If the user no longer wishes to receive newsletters from MFS at a later date, he/she can object to further sending at any time. For this, the user can use the cancellation link included in every newsletter as well as the corresponding function in the user profile. Any other form of written notification to MFS is also sufficient, e.g. letter, fax, email, preferably to the following contact data:

If the user has cancelled the newsletter using one of the methods available above, he/she will no longer receive further newsletters and his/her data, provided for the purpose of ordering the newsletter, will be deleted. Data stored by MFS for other purposes (such as information for the user profile) will not be affected.

Marketing

MFS as well as our exhibitors and partner companies can use data collected for own marketing purposes, provided you have yourself consented to such use. In this respect, we refer to our terms and conditions of use. In other respects, your data can be forwarded to service providers, appointed by us for this purpose, for the provision or execution of the MFS offers or for forwarding of our newsletters, provided we have concluded a corresponding order data processing agreement with the third parties concerned.

Use of cookies, server log data

We use cookies in some areas of the MFS websites. These are small text files that are deposited on your computer as logs by your browser. Our cookies do not contain person-specific information. You can set your browser to inform you of cookies and to accept or reject them. Kindly note the individual setting options on your browser. As a rule, most browsers allow the setting of cookies as the default option, and we reserve the fact that the MFS websites will only function correctly and without limitations given the unrestricted acceptance of cookies.

When a user visits the MFS websites, his/her web browser automatically forwards so-called “server log data” to MFS containing the following information automatically collected and stored by the provider of the MFS websites: operating system used, IP address, referrer URL, time of the server enquiry, host name of the accessing computer, browser type and version. The said information or the server log data are not however brought together with other data sources. The legal basis for this data processing procedure is contained in Art. 6 (1) lit. f GDPR, according to which the processing of data for fulfilment of a contract or of pre-contractual measures is permitted.

Tools, PlugIns, Advertising

Google Analytics
We also use Google Analytics, a web analysis service of Google Inc. (hereinafter “Google”) on the MFS websites for the purpose of requirements-oriented design of our web services. Google Analytics uses cookies and normally transmits the information, generated by the cookies on your use of the corresponding website, to a Google server in the USA for storage. If however the IP anonymisation function is activated on the website concerned, your IP address will first be shortened by Google within the member states of the European Union or in other signatory states to the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there. Within the scope of the order data processing for us, the information collected via Google Analytics is used by Google to evaluate your use of the MFS websites, to compile reports on the corresponding advertising activities, and to provide us with further services associated with use of the website and of the Internet. The IP address, forwarded by your browser within the scope of Google Analytics, is not brought together with other data by Google. You can prevent the forwarding of the data, generated by the cookie set by Google Analytics and concerning your use of the corresponding website (including your IP address) to Google, as well as the processing of this data by Google, by downloading and installing the Browser-Plugin available under the following link: http://tools.google.com/dlpage/gaoptout?hl=de.

We also draw your attention to the fact that we have incorporated the anonymisation tool “anomymizeIP” into the MFS websites. As a result, your IP address is not recorded fully by Google Analytics. Information on the use of Social Plugins
We in part also use Social Plugins, or Plugins of social networks such as “Facebook”, “Google+”, “Twitter” or “YouTube” on the MFS websites. These Plugins are marked for example with the logo of the companies, comment fields or so-called “Like” or “+1” buttons. The technical operation of the Plugins is frequently in the USA or other countries outside Germany and the European Union, and they are in part offered via national companies in the European Union. For details of individual social networks or of your providers, please visit the corresponding websites such as www.facebook.de, www.google.de, www.twitter.de, www.youtube.de etc.

When you use your browser to open one of the websites that incorporates such a Plugin, your browser may establish a direct connection to servers of the respective provider in the respective country. In this case, the incorporation of the Plugin means that the provider receives at least the information that you have visited a specific page of the MFS websites, and possibly also additional information that your browser, or the end device used by you, can disclose. Your browser loads the content of the Plugin directly from the provider and incorporates it into the MFS websites. If you have registered with the provider concerned and are logged on, your visit can also be assigned to your respective user account. If you interact with a Plugin, i.e. click on the “Like” button or enter a comment in a comment field, this information will also be sent direct to the respective provider by your browser, stored there and possibly used further and published. The purpose of the data collection and use described is above all marketing measures of the respective provider and MFS. Further details as well as information on your rights and setting options for the protection of your private sphere, can be found in the data protection regulations of the respective providers.

If you do not want a provider to collect data on you via the MFS websites, you must deactivate the Plugins in your browser. If you wish to avoid a link to your user account of a social network, you must log off before visiting the MFS websites. If you are not a member of a social network, it is still possible for the provider concerned to find out your IP address, to store this or to deposit permanent tracking information on your end device, for example in the form of cookies, and to evaluate this during a subsequent call-up of the respective provider site. By visiting our websites you declare your agreement to the above terms and conditions.

YouTube
PlugIns of the website YouTube (operator: YouTube, LLC, 901 Cherry Ave., San Bruno, CA 94066, USA) are used on the MFS websites. This is for the purpose of achieving an appealing presentation of the MFS websites, and constitutes a justified interest pursuant to Art. 6 (1) lit. f GDPR. When visiting an MFS website that uses this type of YouTube PlugIn, a connection is established to the YouTube servers, and the information on which MFS website the user has visited is transmitted to the YouTube server. YouTube can also assign the user’s surfing patterns to his/her personal YouTube account if the user is logged on to this account at the time. The user can prevent this allocation by logging off from his/her YouTube account before visiting the MFS websites. Google Maps
The online service “Google Maps” of the provider Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA, is used on the MFS websites via an API. This is for the purpose of achieving an appealing presentation of the MFS websites as well as easier location of the places indicated on the MFS websites, and constitutes a justified interest pursuant to Art. 6 (1) lit. f GDPR. Use of the functions offered via “Google Maps” requires the storage of the user’s IP address. As a rule, this data is forwarded to the Google servers in the USA and stored there. Google Web Fonts
So-called Web Fonts of the provider Google (see above) are also used on the MFS websites. This is for the purpose of achieving a uniform presentation of fonts and thus an attractive and uniform presentation of the MFS websites, and constitutes a justified interest pursuant to Art. 6 (1) lit. f GDPR. When using the Web Fonts, the user’s web browser loads the respectively required Web Fonts into the browser’s memory when the corresponding MFS website is called up, so that texts and their fonts are shown correctly. The user’s web browser establishes a connection to the Google servers, as a result of which Google learns that the user has called up the MFS website concerned via his/her IP address. Right of cancellation/right of information/correction/deletion of data

The law contains a wide range of regulations concerning keeping requirements and periods for data. Your respective data is routinely deleted following expiry of these statutory periods. Naturally, your data will also be deleted if the purpose of use no longer requires its keeping. Under the applicable statutory regulations, you also have a right to revoke consent, issued for use of your personal data, at any time with effect for the future, and an entitlement to free information concerning your data stored and, if applicable, a right to correction, blocking or deletion. Upon receipt of your corresponding request, we shall immediately correct your personal data, discontinue use thereof or delete it. This does not apply to data (including your IP address) whose correction, blocking or deletion is opposed by periods of keeping prescribed by law, contract or articles of association, or that is required for the creation, content formulation or amendment of your contractual relationship with us, or has to be stored by us for a longer period for settlement or other reasons, including for the prevention of fraud. Under these circumstances, the data will be kept for as long as necessary for the respective purpose and as long as legally permitted. We reserve the right to delete or block your registration in part or in full given a suspicion of misuse or of unlawful or punishable actions.

Supervisory authority, complaints

The user has a right to complain to the responsible supervisory authority in the event of violations of data protection law on the part of MFS. As a general rule, the respectively responsible supervisory authority for data protection matters is the State Data Protection Officer of the Federal State in which MFS has its registered office.
